1. Acceptance of the Terms

By accessing or using the TravelRox website (the "Site") or by submitting any passport, visa application or related document to us, you acknowledge that you have read, understood and agree to be bound by these Terms of Use and our Privacy Policy. If you do not agree to these Terms, do not use the Site. By continuing to use the Site, you agree to review and abide by the current version of these Terms. Travel and Visa providers clearly state that using their site or sending in documentation constitutes acceptance of their terms; TravelRox applies the same principle here.

TravelRox may update or modify these Terms at any time. Changes will become effective when posted on the Site. We encourage you to review these Terms regularly, as continuing to use the Site after changes are posted constitutes acceptance of those changes.

2. Description of Services

TravelRox is a private travel services company that provides visa- and travel‑document processing, related travel document services, and information. We are not a government agency and do not represent any government. We facilitate the submission of applications and documents to the appropriate authorities but do not have authority to issue visas or guarantee approvals. Issuing authorities may refuse to issue a visa or travel document or request additional documentation without providing a reason. Processing times and procedures are established by the authorities and may change without notice; therefore we cannot guarantee that any particular visa or document will be issued by a specific time.

3. Eligibility and User Responsibilities

3.1 Age and Capacity

The Site is intended for use by individuals who are at least 18 years old. You represent and warrant that you are at least 18 years of age and have the legal capacity to enter into a binding agreement.

3.2 Accurate Information

You agree to provide complete and accurate information to TravelRox. Many visa requirements depend on personal details such as nationality, residence, occupation and recent travel. You are responsible for ensuring that all information and documents you submit are correct and complete. If information you provide is false, inaccurate or incomplete, authorities may delay or deny your application. TravelRox will not be liable for any delays or losses resulting from inaccuracies in the information you supply.

3.3 Compliance with Laws

You agree that your use of the Site and our services will comply with all applicable laws and regulations. You shall not use the Site for any unlawful purpose, nor in any way that could damage, disable, overburden or impair TravelRox's servers or networks. You must ensure that you have obtained all appropriate visas and that each visa is valid for the dates and purposes of your trip. You should not purchase non‑refundable tickets or make non‑refundable reservations until you have received all required travel documents.

3.4 Safeguarding Credentials

You are responsible for maintaining the confidentiality of any usernames or passwords associated with your account. You are fully responsible for all activities that occur under your credentials. You agree to notify TravelRox immediately of any unauthorized use of your account or password.

3.5 Use of Site Content

All content on the Site—including text, graphics, logos, software and design elements—is owned by or licensed to TravelRox. It is protected by copyright, trademark and other intellectual‑property laws. You agree not to copy, distribute, display, publish, transmit or create derivative works from any content without our prior written consent. Unauthorized use of Site content is prohibited.

4. Service Requests, Fees and Payments

4.1 Placing Orders

When you submit an order for visa or travel document services, you are making an offer to TravelRox to process your request. We will send you an acknowledgement email when we receive your order. The contract between us is formed when we send you an acceptance email confirming that we have started processing your request. We reserve the right to refuse any request at our discretion, including requests that are incomplete or submitted with insufficient processing time. We may decline processing for any reason and no explanation is required.

4.2 Fees and Payment Terms

Fees for our services are published on the Site and may include government fees, courier charges and our service fees. Consular fees, forms and requirements are subject to change without notice. Our service fees become non‑refundable once we submit your documents to an issuing authority, or when 90 days have passed since your order. You agree to pay all applicable fees, taxes and shipping charges associated with your order. If an application is rejected and you request that we resubmit it, you must pay any additional government fees and may be charged a supplemental service fee.

4.3 Refund Policy

If you cancel your service before we have received your passport and supporting documents, we will refund any service fees and shipping charges you have paid. Once we have received your passport or documents and have begun processing, no refunds will be issued. Government and consular fees are non‑refundable, even if an application is denied or processing times change.

4.4 Processing Times and Limitations

Processing times are estimates based on information from consulates and other issuing authorities. They start the next business day after we receive your documents. Issuing authorities may request additional documents, delay processing or decline applications without explanation. TravelRox cannot be held liable for delays, cancellations, financial losses or other consequences arising from processing delays or denials. Do not purchase non‑refundable travel until you have obtained all necessary visas and documents.

4.5 Delivery and Shipping

TravelRox uses reputable carriers to ship your documents. We are not responsible for any damage, loss or delay while documents are in transit. You are encouraged to select shipping methods with tracking and insurance. TravelRox is not responsible for failures by shipping companies to deliver on time or to safeguard packages.

5. Intellectual Property & DMCA Compliance

All trademarks, service marks, logos and other identifiers displayed on the Site are the property of TravelRox or their respective owners. You may not use any TravelRox logo or mark without written permission. TravelRox respects the intellectual‑property rights of others and responds to valid notices of alleged infringement. If you believe that content on our Site infringes your copyright, please contact us with a detailed notification consistent with the requirements of the Digital Millennium Copyright Act (DMCA). We will remove or disable access to allegedly infringing material and follow the DMCA procedures. By using the Site, you agree to hold TravelRox harmless from liability arising from actual or alleged intellectual‑property infringement.

8. Disclaimers

TravelRox provides the Site and all services "as is" without warranties of any kind, whether express or implied. We make no warranty that the Site or services will meet your requirements, operate without interruption, be error‑free or that any results obtained are accurate. Any material downloaded or obtained through the Site is at your own risk; you are solely responsible for any damage to your computer or loss of data resulting from such downloads. TravelRox does not guarantee that any visa or document will be issued, nor the time frame in which issuing authorities will respond.

9. Limitation of Liability

To the fullest extent permitted by law, TravelRox will not be liable for any special, incidental, indirect or consequential damages arising out of or related to your use of the Site or our services. TravelRox's total liability for any claim arising from this agreement shall not exceed the amount you actually paid to TravelRox for the service in question during the twelve months preceding the event giving rise to the claim. We are not responsible for delays or losses caused by events beyond our control, including acts of God, government actions, terrorism, war, strikes or failures of shipping carriers.

10. Indemnification

You agree to defend, indemnify and hold harmless TravelRox and its officers, directors, employees and agents from any claims, damages, losses, liabilities, costs and expenses (including attorneys' fees) arising from your use of the Site or services, your violation of these Terms, or your infringement of any rights of another. This obligation survives termination of these Terms.

11. Termination

TravelRox reserves the right to suspend or terminate your access to the Site or services at any time for any reason, including for violation of these Terms, non‑payment or provision of false information. Upon termination, your right to use the Site and services will immediately cease. The provisions of these Terms that by their nature should survive termination (including intellectual‑property provisions, indemnification, limitations of liability, governing law and dispute resolution) will survive.

12. Governing Law and Dispute Resolution

These Terms shall be governed by and construed in accordance with the laws of the State of New York, United States of America, without regard to conflict‑of‑laws principles. Any legal action or proceeding arising out of or relating to these Terms shall be brought exclusively in the state or federal courts located in New York County, New York. You and TravelRox hereby submit to the personal jurisdiction of such courts and waive any objection as to inconvenient forum. If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect.

13. Entire Agreement

These Terms, together with the Privacy Policy and any other policies posted on the Site, constitute the entire agreement between you and TravelRox regarding your use of the Site and services and supersede any prior agreements or understandings. No oral statements or prior writings will have any force or effect. No agency, partnership, joint venture or employment relationship is created as a result of these Terms.
